UDR Planning Guide
Before setting a date for your initiative, you’ll need to reserve space and plan for food or media services, if you need them. We suggest checking the University Calendar and the School of Arts and Sciences calendar to avoid conflicts in schedule. Initiatives should be held when classes are in session.
Reserving a Space and Media Services
Work with your department to find low-or-no-cost event space. If you are unable to find adequate space, you will need to fill out a student event request form.
Determine if the technology you need for your initiative is within your allocated budget.
Food and Supplies
Arrangements for catered food should be made through University Events. Brandeis Hospitality typically requires at least five days' notice for catering. Kosher food orders must be placed 10 business days in advance. Determine what other supplies are needed and from where they will be obtained. The UDR program can provide paper goods and utensils to you for free.
Ways to Promote Your Initiative
- Social Media and Email: Create a Facebook event, post to the department/program Instagram, or promote via a video on your own TikTok. You can also email your department/program Google Group or Submit a Student Union announcement.
- Flyers or Posters (Campus Posting Policy): The Office of the Dean of Arts and Sciences will copy up to 50 flyers on colored paper for free.
- Mailbox Stuffing: Fill out a Mailbox Stuffing Request Form at the Department of Student Engagement.
- Brandeis Media: Consider reaching out to: Brandeis Events Calendar; The Brandeis Hoot; The Justice; WBRS Radio
- Sidewalk Chalking: Use fun and colorful chalk drawings on well-traveled pathways. Only sidewalks may be chalked. Chalking on buildings and personal or university property — buildings, cars, bus shelters, signs, etc. — is not permitted.
- Class Announcements: Ask your professor if you can make an announcement to your class about the initiative.
- Tabling or Ticket Sales: Limited tabling space is available on a first-come, first-served basis in Lower Usdan (contact the department coordinator in the Department of Student Engagement for reservations) and the Shapiro Campus Center. If you are interested in selling or distributing tickets from the Shapiro Theater ticket booth, please contact the operations specialist in the Department of Student Engagement.
