How can I submit my research to ScholarWorks?
Submitting research to ScholarWorks is designed to be simple and painless. The Brandeis Library has deployed technology that attempts to harvest most published materials from Brandeis faculty and researchers. We are still in the process of harvesting for most folks, so if your citations are not loaded yet, please be patient with us; we will get it done.
If you have current materials to deposit and you have not used ScholarWorks before, please consider emailing librarypublishing@brandeis.edu or scheduling an orientation. Appointments are available both in-person or online, depending on your preference.
Submissions are reviewed by library staff and will not be immediately available. When your submission is approved and available, you will be notified via email and provided with a permalink to your submission.
What is the submission agreement for ScholarWorks?
Our default agreement is as follows (please note that depending on the type of asset deposited, the agreement can vary slightly):
Content Guidelines
By submitting the deposited item to ScholarWorks you warrant that:
- The information you provided above is full and correct and that you are either the copyright holder of the deposited item or you are authorized by the copyright holder to submit the item to ScholarWorks.
- The deposited material doesn't violate any copyright law.
- The deposited material doesn't contain any personal information.
- Your submission contains no libelous or other unlawful matter and makes no improper invasion of the privacy of any other person
- If the submission is based upon work that has been sponsored or supported by an agency or organization other than Brandeis University, you have fulfilled any right of review, confidentiality, or other obligations required by that contract or agreement.
Content Distribution
By accepting this license, you agree to the following statements:
You grant to Brandeis University the perpetual, irrevocable, non-exclusive rights to:
- Reproduce your submission.
- Modify your submission to any medium or format (without changing its content) and keep more than one copy for the purposes of security, backup, and long-term preservation of the scholarly record.
- Distribute your submission (including the metadata and abstract) worldwide, in any format or medium, for non-commercial, research, educational, or related academic purposes only, and to allow users of ScholarWorks to do the same.
What rights and permissions are necessary to deposit material in ScholarWorks?
Before submitting a paper to the repository, please be sure that all necessary permissions have been cleared. Authors are responsible for ensuring that your submitted content does not infringe any copyright, violate any proprietary rights, contain any libelous matter, or invade the privacy of any person or third party. These linked resources may be helpful to you. We are happy to consult with you if you’re unsure. Please email librarypublishing@brandeis.edu or schedule a consultation; appointments are available both in-person or online, depending on your preference.
Authors must complete a Submission Agreement for each submission before uploading is allowed. Authors submitting content directly may complete this on the online content submission form. You retain the copyright to your work and grant us the nonexclusive right to publish this material, meaning that you may also publish it elsewhere.
Can material deposited in ScholarWorks be removed?
The repository is intended to be a permanent scholarly record; therefore removing content from public viewing is strongly discouraged. There may be times, however, when it is necessary for authors or repository administrators to remove or update content in the repository. Under most circumstances a citation to the removed content will remain. Authors will be notified by the repository administrator before removal of any content. Authors wishing to remove or update their content should contact the repository administrator.
I believe ScholarWorks includes material which violates my copyright. What can I do?
Every effort is made to ensure that items in the repository are in full compliance with U.S. copyright law. If you believe ScholarWorks includes material which violates your copyright, please email the repository administrator.
How do I revise a submission to ScholarWorks?

Which versions of my published research are eligible for inclusion in ScholarWorks?
Most publishers do not allow authors to deposit the official publisher’s version of a published work. You may have permission to upload the pre-print versions (pre-refereed drafts) and/or post-print versions (post-refereed drafts) but the publisher may request a link be included to the publisher’s version. Search the SHERPA/RoMEO database to find out what versions of published work a publisher typically permits authors to deposit.
I don't have electronic versions of old working papers that I'd like to include in ScholarWorks. Is it okay to scan the printed page to a PDF file?
Yes, scanning printed pages is a great way to create PDF files for inclusion in ScholarWorks assuming steps are taken to ensure the scanned PDF meets accessibility requirements. For assistance, please contact the repository administrator.
Who can submit material to ScholarWorks?
- Any Brandeis University school, department, program, research unit, or center/institute
- Brandeis University faculty and staff
- Brandeis University students with authorization from a sponsoring department or faculty member
- Other individuals affiliated with Brandeis University (e.g. contributors to Brandeis University sponsored conferences, journals, or special events)

What kind of material can be submitted to ScholarWorks?

- journal publications (both pre- and post-print)

- conference papers and proceedings

I’ve found a PDF or other type of file in ScholarWorks that does not meet accessibility requirements. Can you fix that for me?
Absolutely! Please email the repository administrator with a link to the file(s) that need(s) to be remediated and we will address the issue(s).
