Requestor needs to identify what is needed/wanted for the memorial and gather ideas. Requestor should consider:
Tree Type: Is there a specific type of tree you want and/or a specific size? Many memorial trees are of the flowering kind but some shade trees (like oak or maple) grow to be marvelous and longer lasting on campus landscapes. Knowing the type of tree will help with cost estimates. The type of tree we pick may also dictate when it will be planted and what kind of environment (location) it needs to have to grow (sun or shade). The Facilities Services Grounds Manager can help you if you have questions or don't have one in mind.
Funding: How will you fund this? Facilities Services Grounds will install most trees at no charge so the requestor will only need to pay for the tree and associated plaque. Using a department cost center is the easiest method (Example: Cedrus Li bani 7 /8' tree; cost of $377).
Location: Do you have a location in mind for the tree? Sometimes the location is important to the person being memorized because it was their favorite spot or close to their work window. If you don't have a particular location, the Facilities Service Grounds Manager can help provide a few options for you. The type of tree and the location may go together because some trees may need more sun or water or growing soil.
Timing: When would you want it planted? If you wanted it planted at a certain time, that might dictate what tree you use. Keep in mind, approval is needed so you will need that before the tree is purchased/planted. Fall is the best time to plant, and early spring (April) is the next time. The tree can also be planted prior to any dedication/ceremony.
Plaque: What do you want on the plaque to say? What size plaque? Where do you want the plaque to be placed? Donor Relations can help you with your plaque size and wording. This will be a separate, additional cost.
Dedication: Will you want a dedication/ceremony? When? Where? Who? The requestor will be solely responsible for this. However, it is recommended that Facilities Services Grounds knows when this is happening so we can ensure the area is cleaned properly. It is also recommended that the requestor work with University Events for any ceremony/events.
Submit a Service Request for Facilities Services Grounds: This will initiate your contact with the Facilities Services Grounds Manager so all of the above can be finalized and cost can be developed. You can submit a Service Request.
Facilities Services Grounds Manager will reach out to Donor Relations via email with the requestor to start the proper coordination. Donor Relations will help finalize the plaque/wording.
Final plans are agreed to by the requestor, Facilities Services Grounds, and Donor Relations.
Requestor presents their full plan to the IA named space committee. Lauren Wilson is the chair and they meet monthly. Your plan will need to include all of the data listed above.
Committee approves the plan or requests more information.
Once the plan is approved by the committee, requester shall send approval to Facilities Services Grounds Manager and Donor Relations. This will kick off efforts to order the tree and plaque and prepare for tree installation.
Donor Relations completes the plaque and provides it to either the requestor or to Facilities Services Grounds Manager to install. Donor Relations will also document the location of the tree and plaque in their plaque database for future reference.
Facilities Services Grounds Team installs the tree. Once the tree is installed and plaque is in place, the Facilities Services Grounds manager will notify the requestor and close out the Work Order.
The requestor can plan for the private dedication/ceremony as needed. If the tree is to be planted during the actual ceremony, the requestor is to provide those specific details on date/time to the Facilities Services Grounds Manager. The requestor is encouraged to work with University Events on any event/ceremony.
