Keys
Brandeis University is committed to providing a safe and secure environment for students, faculty, staff, visitors, and guests. Brandeis takes its responsibility to maintain key access control of campus buildings and properties seriously. The university strives to achieve appropriate physical security while providing efficient and convenient authorized access.
The following information outlines the framework by which keys to university buildings are issued, monitored, maintained, and audited. It is intended to allow the university to establish a recorded chain of custody for all keys issued.
Students must contact Department of Community Living (DCL) for key replacement. If you lose your key, you should immediately notify Public Safety at 781-736-5000 and then complete the Lost Key Form.
All keys remain the property of Brandeis University and may not be copied or transferred to any other employee.
Key Requests and Returns

To request a key, please fill out a Key Request Form (pdf)* and attach it to a work request.
- The Facilities Business Operations team will verify that the form is correct, ensure these are the correct keys needed, and create a work order
- If the key(s) requested are the only keys the requester owns, once the key(s) is made, the requester will receive an email saying the work order was closed and to come pick up the key at the Facilities Administration main desk.
- If the Requester owns other keys, once the key(s) are made, the requester will receive an email requesting them to schedule a day for them to come put all of their keys on a key ring.
- The person picking up the keys will need to sign for them and show a university ID. Requesters should expect keys within 7 business days if under 20 keys are requested. (14 business days if more keys requested).
- Cost may be incurred. View the fees for new keys.
*Please Note:
- All keys will be stamped with a unique identifier.
- Requesters will have all of their keys put on a key ring with a unique identifier.
- Requesters will be sent emails if information is needed throughout the key process.
- All keys must be assigned to one user and they may not have duplicate keys (except for super users).
To return a key, please fill out a Key Return Form (pdf) and attach it to a work request.
- The Facilities Business Operations team will verify that the form is correct and create a work order for tracking and record purposes.
- Facilities locksmiths will verify all keys are returned if the requester is leaving and/or ensure key software is updated.
- If keys are missing, they will be considered a lost key.
If you have lost a key, first contact Public Safety to see if keys were returned and to have them let you know if keys are found. Student residence hall keys lost should contact The Department of Community Living. Do not follow the following procedures.

- The requester will receive an email with directions depending if a replacement key is needed, the level of key, and if/how many door locks may be changed out.
- The requesters should expect keys within seven business days if under 20 keys are requested. (14 business days if more keys requested).

Key Fees
Fees related to keys can only be charged to departments, not individuals. However, individuals may be charged through their own department's procedures for any key-related costs.

- New Employee Key Request:
- If the past employee returned their keys – No Charge
- If past employee did not return their keys – Considered a lost key
- If a newly budgeted employee – No Charge
- New Work/Construction – Initiated by Facilities (evaluated per project)
- Work initiated by facilities (New doors/cores/Projects) will be given up to 5 keys
- Each key must be assigned an individual user
- Additional keys - $10
- There may be exceptions to large Capital Projects
- Work generated by the user will be charged Core Changes
- Additional Key Request: $10 per additional key
- Additional keys – more than five keys from initial cut
- Duplicate keys will not be issued to a single user (*except super users)
- Key swap (a.k.a. moving offices) – no charge (as long as old keys are returned)
- Broken Key Replacement (if broken key returned): $10
- Broken keys not returned will be considered a lost key
- Lost/Stolen Key
- Resident hall master key - $300.00
- Mechanical room master 3XM key - $200.00
- All buildings G11 and Shabbat keys - $200.00
- Interior master building keys - $100.00
- Individual office keys - $50.00
- Individual resident hall room keys - $50.00
- Facilities vehicle keys - $400.00
- All other keys - $50.00
*Keys on a key ring will be charged at the maximum price of $300.
- Swapping cores (no new cores) - only labor cost will be charged
- New cores - $50 per door plus labor (up to 5 keys with names)
Key Audits
As part of our commitment to ensure we maintain key control, we will be conducting a key audit once a year. We will be contacting your primary building representative on the month of your audit to make needed arrangements. View the Key Audit Schedule.
Super Users
Super users are individuals in departments that have been identified by Facilities Services as having an approved department key program. These departments will have one point of contact that Facilities Services uses to issue and track keys to/from. A couple of examples of super users are Department of Community Living and Public Safety. Learn more about super users.
